🏄‍♂️ MY KOLs: How to format a KOL Import File

Kolsquare allows users to import data spreadsheets detailing pre-existing KOL catalogs.

For your KOL catalog to be correctly imported:

  • It is imperative to use our template file

  • Columns' order and their names must remain as in the file for social account URLs

  • You can import and create custom fields

  • Follow the instructions below to respect column expected formats

  • The file size must not exceed 5MB or 500 lines (imported KOLs)

To avoid the hassle of missing data post-import, we recommend spending the necessary time up-front to ensure your file is compatible for import.

But don’t panic 😳 ! Formatting your file will be quick and easy. This step-by-step guide will ensure you get it right. First time, every time.👌

Before you begin

To better understand what you can do and what to avoid, download and open our sample file, which will help you to easily understand how to format values for each column of your file.

  • For best results, open the file as a spreadsheet in Microsoft Excel, Numbers (Mac) or Google Sheets

Formatting your file

URLs for social network accounts

You must fill in at least the first column "social_account_url" for every single lines with one URL of a social network account per KOL (1 KOL = 1 line), making sure to follow the correct format for each social network on Kolsquare (Instagram, TikTok, Facebook, YouTube).

Use the columns as in the sample file. This will allow us to automatically associate the values of the other columns to the profiles in Kolsquare.

  • “social_account_url”

  • “social_account_url_2”

  • … and so on.

Other fields

All other fields are optional. To facilitate the association of these fields with similar fields that already exist in Kolsquare, you must clearly label each column of your import file.

For example, if you have a column named ‘KOL phone’ in your import file, you will choose the ‘Phone number’ field in Kolsquare.

You can also directly fill in the 'phone_number' existing column of the sample file.

Rules for Native fields

A ‘native’ field is a field that exists by default on Kolsquare.

You can fill in columns of the template of the same name, dedicated to that purpose:

Labels (tags)

Individual cells can accommodate several labels, which must be separated by a comma (with or without a space),

It is possible to generate a label that includes a comma (,), by enclosing it with quotation marks “ ”, as per the following example:

Rules for your Custom fields

You can import any field not existing natively on Kolsquare, using a field you created as custom field on Kolsquare on the first hand, or that you will be able to create during the import process on the other hand.

You can fill in ready to use columns listed at the end of the template / sample file, and even add some in extra next to them.

In the below example, the column name

  • "text_field" could be "Sport"

  • "number_field" could be "Run distance"

  • "date_field" could be "Birthdate"

Then to be bale to associate fields, you must make sure that:

  • Both fields are the same type,

  • The maximum number of characters allowed is not exceeded. This prevents imported information from being truncated.

Text

Description

The text field is the least restrictive. It is used to indicate information such as names, addresses, telephone numbers, emails, etc.

Rules

✅ Letters, numbers and special characters are allowed

❌ Emojis are not allowed

Number

Description

The numbers field delivers benefits like filtering by ascending order, or calculating the average value in a list of KOLs.

Rules

✅ The full-stop (.) and comma (,) are used as decimal separators,

❌ Spaces [SPACE BAR] are not accepted in a numbers field.

Examples

✅ 100000000000,25 (comma used as decimal separator)
✅ 7.5 (full-stop used as decimal separator)

❌ 1,000,000 (commas used incorrectly)
❌ 1 000 000 (spaces used)

Field type

Date

Description

The date field-type must follow a special format for it to be accepted and used correctly afterwards.

Rules

✅ The import file must use the standard ISO year-month-day format
(yyyy-mm-dd).
​N.B.: Excel has a quick, simple method for converting columns with date values: From the ‘Format Cell’ tab, go to ‘Number’ format, ‘Date’ category, ‘Type’, select YYYY-MM-DD format and click ‘OK’.

⚠️ 7 characters maximum

✅ 1991-12-24 (December 24, 1991)
✅ 2012-03-14 (March 14, 2012)

Last step

All you need to do now is format your Excel, Google Sheets, or Numbers file to “.csv” and import it.

Make sure:

  • Separators are either commas (,) or semicolons (;)

  • Format UTF-8: if this format is not offered, the default format in most software will be correct

With each new file import, existing data in Kolsquare (KOL profile, MyKOLs) will be replaced by the data from the newly imported file. Empty cells in your file will not be imported.
